Create a facility

Add a facility with a searched address, and read the page it gets afterwards.

Facilities are the locations your organisation works from — a house, an office, a respite unit. This walkthrough adds one and shows the page it gets.

Only the name is genuinely yours to decide: it is the one field the form will not save without, and it is what people type when they search later. Capacity is prefilled with 1 and has to be at least 1, so treat it as a number you set rather than one you can leave blank — but understand what it does: it is recorded and shown on the facility's header and in the list filter, and nothing in the system stops you assigning more clients than it says. It is a planning figure, not a limit.

The address is searched rather than typed. Choosing a suggestion fills the street, city, state and postcode and drops a pin you can drag if it lands slightly off; there is a manual-entry toggle for addresses the search cannot find. Access Permissions on the create panel are by ROLE — per-person access is a separate screen once the facility exists.

  1. Step 1

    Check the list first

    Go to Facilities and check the site isn't already listed, then select Add Facility. If the button is missing, you don't have permission to create facilities.

  2. Step 2

    Name it

    The name is the only field you must fill in. It's what people search for later, so use the name they would type. Capacity starts at 1 and is shown on the facility's header — it's a planning figure, and nothing stops you assigning more people than it says.

  3. Step 3

    Add a contact number

    Under Contact Information, add a phone number for the site itself — not a person's mobile.

  4. Step 4

    Search for the address

    The address is searched, not typed out. Picking a suggestion fills in the street, city and postcode and drops a pin you can drag if it lands slightly off. If the search can't find it, switch to manual entry rather than picking a nearby address.

  5. Step 5

    Create and check it

    Create Facility saves it and opens the facility's own page on Information — check the name, capacity, phone number and address there.

  6. Step 6

    What the facility gets afterwards

    Saving takes you to the facility's own page, opening on Information. Along the top are Contacts, Documents, Forms, Tasks, Jobs and Shifts — each one a place this site's records collect. Assigned clients appear as a section on Information rather than as their own tab. Some organisations also see Schedules, Registers, Inventories or Performance, depending on which features are switched on.

  7. Step 7

    Adding several at once

    For more than a handful, Admin Settings → Data Import → Facilities takes a spreadsheet: download the template, fill it in offline, upload it and review what will change before committing. There is no import button on the Facilities screen itself.
