Assign a draft shift

Roster a shift: who it is for, who is working it, when — and why Draft is the status to build one in.

A shift is rostered against a client or a facility — one or the other, never both. The builder enforces it, and it is the first decision to get right: a shift against the wrong subject is not a time problem, it is a records problem.

The person working it is optional. Leaving it as an open shift advertises it to all caregivers rather than assigning it — the right choice when you are looking for cover rather than naming somebody.

The times are proposed, not found. Clicking a slot on the roster fills the builder in from where you clicked; it is a starting point, not a statement that anyone is free then. Nothing in the app records unavailability or leave, so check against however your organisation tracks that before you commit somebody.

Status starts as Draft, and Draft is quiet. Saving a shift that is not Draft notifies the assigned staff member — the panel warns you as soon as you take it off Draft with somebody assigned. So build the shift up in Draft, check it, and change the status when you actually mean to tell them.

Beyond Draft, a shift moves through Pending, Confirmed, In progress and Completed, and can be Cancelled, Declined or marked No show.

  1. Step 1

    Open the builder

    Shifts, then Create Shift. Clicking an empty cell on the roster opens the same panel with that row and date filled in.

  2. Step 2

    Client or facility — one of them

    A shift belongs to one or the other. The builder will not save with both, and will not save with neither.

  3. Step 3

    Pick the client

    The person or place this shift is for.

  4. Step 4

    Assign the staff member

    Or leave it as an open shift, available to all caregivers, if you are advertising it rather than assigning it.

  5. Step 5

    Check the times

    Opened from Create Shift, they start at today, 09:00 to 17:00; opened by clicking a slot on the roster, they come from that slot. Either way they are a starting point — read them against the roster before you save, because nothing checks that the person is free.

  6. Step 6

    Leave it as Draft

    Draft is how you build a shift up without anyone hearing about it. Taking it off Draft with somebody assigned means saving notifies them — the panel says so before you do it.

  7. Step 7

    Save it

    Create Shift saves it whichever status it is on.

  8. Step 8

    Reopen and check

    From the roster: the client, the person, the times, and the status you left it on.

  9. Step 9

    An empty cell is not a free person

    Nothing on the roster records unavailability or leave, so a blank row means only that no shift is rostered there. Check availability the way your organisation actually tracks it before committing someone — the grid cannot tell you.

  10. Step 10

    What Draft does and does not do

    A draft shift exists, is visible on the roster, and is not a secret — it simply has not notified the person it names. It is the right place to leave a shift you are still working out, and the wrong place to leave one you think is confirmed.
