Forms has two pages, and the difference between them is the thing worth learning first.
Management is the library. Its Form Templates tab lists the blank forms your organisation has — the questions, before anyone has answered them. Its Form Responses tab lists what has come back in: one row per completion, each carrying the status it reached.
Browser narrows that to a single template. Pick a template on the left and the right-hand grid fills with every response to that one form, in a table you can sort, search and filter.
A response is not always finished. Somebody who started a form and closed it leaves a draft, and drafts are hidden in the Browser until you ask for them — which is the single most common reason a response you know exists is not in front of you. This walkthrough takes one template, Daily Visit Note, and finds its responses including a draft.
Step 1
Open Forms > Management
Forms in the side menu, then Management. It opens on Form Templates — the blank forms available to you. What you can see here is governed by your permissions, so a colleague's list may be longer or shorter than yours.
Step 2
Read the templates list
Each row is a form nobody has filled in yet. This is also where a form is created, edited and published. Clicking a row opens it for filling in when you can submit it; if you can only edit the form, it opens for editing instead.
Step 3
Switch to Form Responses
The Form Responses tab lists completions across every template — useful when you know a form came in but not which template it belongs to.
Step 4
Check the status on each row
Every response carries a status — pending, approved, or sent back for changes. Drafts — started, not submitted — hold real answers too, and they are what the Browser hides until you ask for them.
Step 5
Move to the Browser
Browser, under Forms in the side menu, works the other way round — one template at a time, with its results in full.
Step 6
Find your template
The tree on the left lists templates, inside folders if your organisation groups them. Type the template's name — Daily Visit Note here — and the search filters the tree and opens any folder holding a match, so you do not have to know where a template lives.
Step 7
Read the results grid
Selecting a template loads every response to it within the date range the Browser opens on as a row. Columns come from the template's own questions, so the grid is shaped like the form. Two controls are worth knowing even though this walkthrough does not stop on them: sorting by a column orders the answers, and Columns hides the questions you are not reading.
Step 8
Use the filter bar
The filter strip under the toolbar is open when the Browser loads. It holds Status and Date, plus a filter for who the response is about when the responses carry one. Filter hides and shows the strip. The search box beside them looks inside the answers themselves, not just the submitter's name — so you can find a response by something written in it.
Step 9
Widen the status filter
Status starts on Hide drafts, which is why half-finished responses are not in the grid. Switch it to All statuses and the drafts appear in the list, ready to follow up. If nothing changes, the draft is probably outside the date range rather than absent.
Step 10
When a response you expect is not there
Work through it in this order. Is Status still on Hide drafts, and is the response a draft? Is the date range narrower than the response is old? Are you looking at the right template — a response only ever appears under the template it was filled in on? And does your access cover the client or facility it is about? A filtered-out response is not a deleted one; nothing on this page changes a response.
Step 11
Templates and responses are separate things
Editing a template does not rewrite responses already submitted against it — they keep the questions they were answered with. That is why an older response can show columns the current template no longer has.
